The reminder ladder: who hears about it, and when.

When work is not done, somebody has to notice. The ladder decides who, and after how many minutes. It is one set of rules for the whole business, it is checked once a minute, and each step leaves a note with a message ready to share.

The steps, on the real screens.

  1. Open Team, then “Reminder rules”. The heading reads “If work is not done, who hears about it”. A manager sees the rules with the line “Only the owner can change these”.
  2. Set step 1, “Remind the staff member”. It is a number of minutes before due. A new account starts at 30.
  3. Set step 2, “Remind again”. Minutes after due. A new account starts at 0, which means at the due time. This second message is marked urgent.
  4. Set steps 3 and 4. “Tell the manager” starts at 15 minutes late. “Mark missed and tell the owner” starts at 60 minutes late, and at that point the staff link closes.
  5. Set step 5. Work goes under “Needs you” when the same work is missed again and again by the same person: 2 times in 7 days to begin with.
  6. Set “Quiet hours” and press Save. No step runs in those hours. What was due runs at the first minute after.
  7. During the day, open Reminders. Each note carries a label such as “Reminder due”, “Second reminder due”, “Running late”, “Missed” or “Needs you”. Press the Share button or “Copy message”, then Clear.
  8. For late work, open the task. The buttons at the top are a Call button with the person’s name, “Give more time” and “Give to someone else”.
Sign-up is not open yet. These steps follow the screens as they are built today, and a label may change before launch.

Common mistakes

Four wrong ideas about the ladder.

Thinking the reminder went out by itself. Each step makes a note. A person presses Share. The portal never claims a message was delivered or read.
Clearing a note without sharing it. Clear only removes the note from your list. The staff member has heard nothing.
Setting “missed” too tight. When work is marked missed the staff link closes. Give enough minutes for honest lateness.
Forgetting the old link after “Give to someone else”. The link the first person has stops working at once. You share a new one.

Questions about reminders

No. Each step makes a note under Reminders with a ready message, and the manager shares it from their own number. The portal records only that Share or Copy was pressed. It does not track delivery or reading.
No step runs in those hours. What was due runs at the first minute after.
No. There is one ladder for the whole business, and only the owner can change it.
